Desktop App Guide
The Laxis desktop app for Mac and Windows records any call — Zoom, Microsoft Teams, Google Meet, Webex, a phone call on speaker, or an in-person conversation — by capturing your microphone and your computer's audio. No bot joins your meeting.
Get the app
- laxis.com/download (Mac or Windows): includes the Voice Keyboard and updates itself automatically.
- Microsoft Store (Windows): includes the Voice Keyboard. Updates come through the Store.
- Mac App Store: everything except the Voice Keyboard. Updates come through the App Store.
First-time setup
The first time you sign in, Laxis walks you through three quick steps:
Connect your calendar
Connect Google Calendar or Outlook Calendar so Laxis can show upcoming meetings and remind you to record them. Click Connect later to skip.
Set up audio access (Mac only)
Allow Microphone (your voice) and System audio (everyone else on the call). Both are required to record. After you turn on system audio in System Settings, click Restart Laxis to finish — macOS only applies this permission after a restart. Laxis reopens right where you left off.
Join your team's workspace
If colleagues with your company email already use Laxis, click Join. Otherwise choose Or create your own workspace and invite teammates, or finish setup and do it later. See Workspaces & Teams.
Try the demo meeting
After setup, the Meetings page shows Try a demo meeting. Click Play demo: a short demo video plays on the left while Laxis records it live on the right, so you can watch the transcript, AI notes, and report appear exactly as they would in a real meeting.
To watch it again, click Replay demo on the demo meeting, or go to Settings → General → Demo meeting → Replay demo meeting.
Looking for the interactive tutorial?
The old step-by-step tutorial (and the Restart tutorial button) has been replaced by the demo meeting.
The Meetings page
The sidebar has Meetings, Tasks, Shared with me, Folders, AI Templates, and Voice Keyboard. At the bottom you'll find the Get started checklist, your plan and minutes, and your account menu (workspace switcher, Help Center, and Settings).
On the Meetings page:
- Search meetings... — type keywords and press Enter to search the titles and contents of all meetings in your current workspace.
- New Note — the blue button creates a note and starts recording right away (shortcut: Cmd+N on Mac, Ctrl+N on Windows). Click the small arrow next to it for Recording Options:
- Record — same as New Note.
- Invite Laxis Assistant — send the Laxis meeting bot to a Zoom, Google Meet, or Teams call. Paste the meeting link and click Record.
- Upload Audio File — transcribe an existing recording (m4a, mp3, wav, or flac, up to 200 MB).
- Coming Up — your next calendar meetings. Click one to open its prep note (see below). Details shows the meeting link and the Auto-join and record this meeting switch for the meeting bot.
- Past Meetings — your meetings, newest first, grouped by date. Click ⋯ on a row to Move to Folder, Share, Send to CRM (if you've connected a CRM), Move to workspace (if you belong to more than one), or Delete.
- Ask AI about your meetings... — the chat bar at the bottom answers questions across all your meetings (Premium).
Prep before a meeting
Click an upcoming meeting in Coming Up to jot an agenda. When the meeting starts, click Record on that page — Laxis records into the same note, so your agenda and the AI notes end up together. Prep notes sync to your other devices.
Recording a meeting
After you click New Note, the recording screen opens:
- Notes (default tab) — type your own notes. Laxis also writes AI live notes into the same document: the first after about a minute, then every 5 minutes, each under a heading like "AI live note · 2:05 PM". Your own text is never overwritten.
- Report — the full report is generated after you stop.
- Tasks — action items from the meeting.
- Transcript — click Transcript in the bottom bar to open the live transcript. Each line shows the time and the speaker.
- Ask AI about this recording... — ask questions about what's been said so far (Premium).
- Stop — ends the recording.
Choose the language
At the top of the transcript panel:
- Speaking: the language people are speaking. Choose Auto-detect or one of 60 languages (the default is English). Laxis remembers your choice.
- Translate: turn on live translation into any of 60+ languages. Each line then shows the original with its translation underneath (Premium).
Floating captions (Premium)
Click Captions in the transcript panel header to show large, always-on-top captions over any app — even a full-screen meeting. Drag them anywhere, and use Smaller text / Larger text or the resize handle to adjust. Click the gear (Caption settings) to choose:
- Display: show speaker names, and whether to show the original, the translation, or both.
- Appearance: font, text color, and background darkness.
- Languages: the speaking and translation languages.
Captions are only available while you're recording, and close when the recording stops.
Mini mode
Click Minimize to side (top right) to dock Laxis as a narrow, always-on-top panel at the right edge of your screen, next to your meeting. It keeps your notes, the timer, Stop, Transcript, and Chat within reach. Click Expand to go back to the full window.
When a recording stops on its own
There's no Pause button. Instead, Laxis stops and saves the recording automatically when:
- Nobody has spoken for 10 minutes. You get a 60-second warning with a Keep recording button first. You can turn this off in Settings → Notifications → Auto-stop silent recordings.
- You reach your plan's length limit for a single recording — 45 minutes on Basic, 2 hours on Premium, 4 hours on Business. A countdown appears in the last 10 minutes.
- You run out of transcription minutes for the month.
To keep going, open the meeting and click Record — the new recording is added to the same note.
Audio tips
- Laxis records your system's default microphone. To use a different mic, change the default input device in your Mac or Windows sound settings.
- If you plug in headphones or switch Bluetooth devices during a call, Laxis reconnects the audio automatically.
- If system audio isn't available, Laxis keeps recording your microphone and shows a warning.
- If your internet drops, audio keeps recording and transcription resumes when you're back online.
After the meeting
When you click Stop, Laxis opens the meeting on the Notes tab and:
- Polishes your notes — rewrites the whole note into clean, organized notes using the full transcript. Click Undo polish to go back. You can also click Polish in the Notes toolbar any time.
- Writes the Report — the Meeting Summary appears on the Report tab.
- Pulls out Tasks — action items appear on the Tasks tab and on the Tasks page in the sidebar.
The meeting page
- Title — click to rename.
- Share — invite people by email or set Anyone with the link, then Copy link.
- ⋯ — Move to Folder, Send to CRM, or Delete.
- Notes, Report, Tasks tabs.
- Bottom bar — play the recording (1x, 1.5x, or 2x speed), Record another recording into this note, and open the Transcript. Click any transcript line to jump to that moment.
- Ask AI about this meeting... — chat about this meeting (Premium).
Report and AI templates
On the Report tab, choose a template from the dropdown (the default is Meeting Summary), then click Generate or Re-generate. You can edit the result, and Copy it to paste anywhere. Click Manage Templates to create your own on the AI Templates page. Templates other than Meeting Summary need Premium.
See Notes, Reports & Tasks for more.
Name the speakers
Click a speaker label (for example "Speaker 2") in the transcript and type or pick a name. Leave Apply to all checked to rename every line from that speaker, or uncheck it to fix a single line. With Voice Recognition on, Laxis learns their voice and labels them automatically next time. See Speaker Recognition.
Highlights and screenshots
In the newest version, the transcript panel has a Highlight button that marks the current paragraph with one click, and a Screenshot button that saves a screenshot of a window or screen into the transcript at that moment. See Highlights & Meeting Images.
Meeting reminders and meeting detection
- Reminders: 2 minutes before a calendar meeting, a small card appears. Click Join Meeting & open Laxis to open the meeting link and start recording into that meeting's note.
- Meeting detection: when you join a Zoom, Google Meet, or Teams call that isn't on your calendar, Laxis shows Meeting detected. Click Record in Laxis to start recording.
Turn these on or off in Settings → Notifications. Reminders and detection don't appear while you're already recording.
Keep Laxis running
Reminders, meeting detection, and the Voice Keyboard only work while Laxis is running. Laxis can keep running in the menu bar (Mac) or system tray (Windows) when you close its window. Launch at login is in Settings → General.

Troubleshooting
Recording won't start on my Mac. Laxis needs both Microphone and Screen & System Audio Recording permission. Open Settings → General → Permissions, click Open System Settings, turn on Laxis, then quit and reopen Laxis.
Other people on the call aren't in the transcript. System audio isn't being captured. On a Mac, check the Screen & System Audio Recording permission (and restart Laxis). If you're using a headset, make sure the meeting app plays through the same device your computer is using.
My recording stopped by itself. See When a recording stops on its own. Click Record on the meeting to continue in the same note.
A meeting is stuck processing or failed to upload. Uploads retry automatically. The sync badge next to the Meetings title shows anything pending or failed — click it to open the Upload Queue and click Retry All.
Support asked me for logs. Go to Settings → About, click the download icon (Export application logs), and email the zip file to support@laxis.tech.
